Administrative Assistant (Part Time)


 
  • General Summary:
    • The Administrative Assistant is a non-exempt hourly position. This position is responsible for maintaining a positive work environment. This employee will work on a variety of tasks related to supporting the activities and business of all Branch Office locations. This position focuses on a normal routine and schedule of the branches and the employees. The Administrative Assistant will be responsible for report generation, calendar management, data entry, ordering supplies, and other administrative tasks as delegated. There may be some travel required (less than 10%).


  • ADMINISTRATIVE RESPONSIBILITIES

    • Assist staff with completion of Field Notes, Field Reports, DPRs, and any other work product required to further the business of the company. Assistance includes proof reading, formatting, etc. as defined in the Office Administration guidelines and as assigned by various production team members.
    • Responds to and answers emails in a timely fashion.
    • Participates in Company huddles.
    • Acts as a point of contact for all company employees.
    • Prepare and assist with creation of office documentation and oversee electronic filing.
    • Orders supplies.
    • Manage Procore and Plangrid systems.
    • Manage Admin Team Inbox and Microsoft Teams Task lists.
    • Promote a Team-centric work Environment.


  • GENERAL RESPONSIBILITIES
    • Entering Time into appropriate software platform on a weekly basis.
    • Maintain positive and professional etiquette and appearance.
    • Maintain a strict level of confidentiality and discretion.
    • Effectively communicates product, equipment, or operational issues to management in a timely manner.
    • Works proactively to achieve the overall goals of the company.
    • Perform tasks not enumerated in the job description to ensure routine activities align with OneBe-CI and the company BHAG.
    • Projects as deemed appropriate and assigned by your immediate supervisor and/or Leadership Team.


  • Education (required):
    • Associate degree with at least 6 months to 1 year of experience in an administrative role; or
    • High school diploma/GED with at least 2+ years of experience in an administrative role

HOURS & SHIFT SCHEDULES

This is a part time role intended to be approximately 20 hours per week (4 hour shifts, Monday - Friday)

3:00PM - 7:00PM EST / 2:00PM - 6:00PM CST / 1:00PM - 5:00PM MT

4:00PM - 8:00PM EST / 3:00PM - 7:00PM CST / 2:00PM - 6:00PM MT


LOCATION REQUIREMENTS

This position can be either Remote or in office; however, you must be located in a state in which we have an office.

Ideally, you would be located within one hour of an existing office in these cities:

Florida: Pensacola, Destin, Tampa, Miami

Georgia: Alpharetta

Tennessee: Brentwood

Texas: Dallas, Houston, Austin, San Antonio

Louisiana: Baton Rouge

Alabama: Mobile

Colorado: Denver

Arizona: Phoenix
