Position Overview

The Office of Clinical, Administrative and Program Support (OCAPS) is seeking to hire an Administrative Assistant I to function as staff assistant for the Bureau Chief of Pharmacy and Clinical Support Services. Coordinates special projects of a complex and confidential nature involving office operations, contract status, labor relations correspondence and personnel issues. Serves as special assistant to the Bureau Chief, implementing Department of Human Services (DHS) contract process and office management. Serves as correspondence control monitor for the Bureau Chief. Serves as primary timekeeper for the Bureau. Assists the Family Medical Leave Act Coordinator for OCAPS. Receives and handles inquiries from agency staff and manufacturers.

Job Responsibilities

  • Functions as staff assistant for the Bureau Chief of Pharmacy and Clinical Support Services.
  • Serves as special assistant to the Bureau Chief, implementing Department of Human Services (DHS) contract process and office management.

  • Serves as primary timekeeper for the Bureau.

  • Serves as correspondence control monitor for the Bureau Chief.

  • Assists the Family Medical Leave Act Coordinator for OCAPS.

  • Receives and handles inquiries from agency staff and manufacturers.

  • Coordinates the agenda of the Department of Human Services (DHS) Pharmacy and Therapeutics Committee and monitors implementation of actions for the Bureau Chief.

  • Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
  • Requires one year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

Preferred Qualifications

  • Two (2) years of professional experience communicating effectively both orally and in writing and coordinating day-to-day activities that lead to greater efficiencies and effectiveness within a division or bureau.
  • Two (2) years of professional experience working for a public or private organization, in a social or human services field, maintaining confidentiality and handling sensitive information with professionalism.
  • One (1) year of professional experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.
  • One (1) year of professional experience developing and maintaining professional working relationships with staff, customers, vendors and public.
  • One (1) year of advanced experience utilizing computer software such as Microsoft Office Suite, SharePoint, and Excel, including spreadsheets and documents.
  • One (1) year of professional experience researching issues and concerns in preparation of reports and correspondence to staff, customers, public and/or internal/external stakeholder.

Conditions of Employment

  • Requires ability to pass the IDHS background check.
  • Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
  • Requires ability to meet all agency vaccine/health-related policies and guidance.
